Purpose: The Gift Processor and Data Analyst is responsible for gift processing, acknowledgment of donations, constituent data management and analysis using publicly available information and constituent data. The Gift Processor and Data Analyst also maintains the donor database using Blackbaud Raiser’s Edge.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Gift Processor and Data Analyst
- Identifies, develops, analyzes, and maintains information on all gifts.
- Organizes records and files, with emphasis on continuous maintenance of accurate constituent database records.
- Ensures gifts are efficiently and accurately entered into Raiser’s Edge and generates IRS compliant acknowledgement letters.
- Prepares cash receipts journals and enters this information directly into the College’s accounting software.
- Attributes coding, database report generation, giving trends, giving proclivities, solicitation preferences and giving timelines.
- Works directly with key individuals in the Business Office to answer questions related to a particular gift or deposit.
- Collects donations from the College’s online donation system, Blackbaud’s Online Express, and transfers them into Raiser’s Edge for processing.
- Prepares cards to inform individuals a gift was made in honor or in memory of another individual and mails them out accordingly.
- Files and stores documentation related to gifts in compliance with records retention policy.
Database Maintenance & Analysis
- Enters and updates constituent contact information within the database, conducting research as necessary to locate missing demographic information and inform giving profiles.
- Generates database queries to group gifts together for acknowledgement and other purposes.
- Maintains and improves the health of database, by editing tables, detecting duplicates, correcting inaccuracies, as well as adding appropriate coding and attributes.
- Utilizes data queries and export tools to help group records and ensure accuracy of datasets for IA projects and requests from departments.
- Reviews datasets to ensure accuracy of data used for mail merges and reports.
- Communicates with donors and employees both within the department and with other divisions to clarify intentions and follow-up on requests. This is done in-person, via email, phone, and written correspondence.
Financial Reports
- Compiles weekly gift reports in digital format containing donor and gift information that are sent to key individuals determined by the VP. In addition, report gifts of $1,000+ with donors contact information and send it to the Office of the President.
- Produce financial reports for trustee, alumni and community giving.
- Provide financial analysis report for campaigns and appeals.
- Reconcile employee payroll deductions with finance. Review, update and reconcile employee giving report from payroll. Produce quarterly reports to finance controller providing fund distribution.
ADDITIONAL DUTIES AND RESPONSIBILITIES
- Assists, on an as needed basis, in the preparation and execution of College sponsored events. Evenings and weekends are sometimes required.
- Performs other related duties as assigned by the Vice President of Institutional Advancement.
- Provides ongoing support and mentoring to the student workers and volunteers by answering questions, demonstrating tasks, and analyzing data.
- Provides student workers access and training to Institutional Advancement donor database.
QUALIFICATIONS
Experience, Competencies and Education
- Bachelor’s Degree and two years of experience in a development office.
- Proficient with database management and fundamental knowledge of Blackbaud, including Raiser’s Edge database and web view.
- Experience with Jenzabar preferred.
Knowledge, Skills and Abilities
- The ability to use the advanced features of Microsoft Excel and carry out mail merges accurately.
- Ability to handle confidential information, maintain and update digital and physical files with high degree of accuracy, and sensitivity to the importance of stewardship and donor relations.
- Strong organizational and analytical skills, detail-oriented, ability to set priorities and manage time effectively in a deadline-driven environment, while maintaining a degree of professionalism.
- Strong interpersonal skills: ability to work well with donors, business executives, as well as faculty, administrators, staff, and students.
- Outstanding organizational and problem-solving skills, attention to detail, and the flexibility to respond to changing priorities.
- Ability to work independently and as part of a team.
