POSITION: Administrative Assistant – Children’s Center(Part-time)

REPORTS TO: Director of Children’s Center 

JOB PURPOSE:

Provide administrative support for the efficient operation of the Children’s Center

RESPONSIBILITIES:

  • Provides secretarial support to the department by typing, filing, photocopying, distributing mail, data processing and answering phones
  • Functions as a liaison to the College and community by maintaining contact with other departments, answering inquiries, and providing information about the Children’s Center
  • Receives, records, and deposits monthly tuition payments and other income
  • Maintains all financial records of the Children’s Center
  • Assists with grant development and management
  • Prepares and distributes invoices and/or statements monthly for tuition collection
  • Follows up on delinquent payments and provides customer service for Children’s Center tuition accounts
  • Ensures accurate information by collecting and maintaining children’s personal records to meet State Licensing guidelines, National Accreditation standards and Keystone Stars requirements
  • Maintains confidentiality in all aspects of this position
  • Receives and screens visitors to the Children’s Center
  • Handles scheduling for field trips and special events at the Children’s Center
  • Orders/purchases items for snacks for the children attending the Center, teacher supplies, and other consumable items needed for the daily operation of the Center
  • Performs other related duties as assigned by supervisor

REQUIREMENTS: 

High school diploma required; associate’s degree preferred: Education credits accepted as experience. At least 1 year secretarial experience, detail orientated, proficient in Microsoft Office. Administrative and bookkeeping experience required. Must have strong customer service skills; ability to work with families, community, Children’s Center and college staff, college students, and young children. Background check clearances including FBI, Act 34 and Act 151, and physical examination required. Confidentiality a must.
